25 Productivity Prompts to Automate Your Workflow
Twenty-five prompts that compress an hour of busywork into a minute. The pattern is always the same: give the model a messy input, tell it the exact shape of the output you want, and let it summarize, plan, or draft. You are not asking it to be creative here; you are asking it to do the boring structuring that eats your day. Paste the text, fill the brackets, and read the result instead of writing it.
These prompts are grouped by the kind of work they replace: digesting information, planning your time, automating repeatable processes, and writing clear messages. None of them require special tools; they run in ChatGPT, Claude, Gemini, or Copilot. For meeting notes specifically, the meeting notes summary workflow walks the full loop, and for research-heavy days the research summary settings tune the output.

Do not open these one at a time when you are already tired. Chain them into a morning loop. Start with a summarize prompt on whatever landed overnight (prompt 1-4), then a plan prompt to schedule the day (prompt 8-9), then fire off the communicate prompts for the messages you have been avoiding (prompt 21-25). That single 10-minute routine clears most of the administrative drag before your first meeting.
The automate prompts (section 3) are different: they are setup-once tools. Write the SOP, the email rules, and the decision checklist once, then reuse them for months. The biggest productivity win is not answering faster; it is removing the decision of how to answer at all. Keep a notes file of your favorite filled-in prompts so you never re-write the brackets.
One caution: the model is fast, not accountable. When a prompt outputs an owner or a date, treat it as a draft to confirm, not a fact to ship. The summaries are only as good as the text you paste in, so include full context rather than a vague subject line.
Sources & Notes
Prompts tested on ChatGPT (GPT-4o class) and Claude 3.5-class models, 2024-2025. They are tool-agnostic and also work in Notion AI, Gemini, and Copilot. Treat extracted owners or dates as suggestions to verify, not facts. For a study-specific plan generator, the ChatGPT study plan prompt is a deeper cut of prompt 14 above.
